Incorrect or missing information on a forwarded opportunity
The system will populate any information such as the project title, bid due date, and location that it can grab from the email contents, as shown below.
If information is missing or incorrect, you can add or change client information by clicking “Add Client Information" or "Change Client" accordingly.
A pop-up window will appear where you can enter in the right email address and click "Next". Please note that BuildingConnected does not notify your client when their information is forwarded or added to your bid. This information is only visible to you and your team.
You can also edit any project details by clicking in the field you want to edit and make the change. Click away and your changes will be saved.
Forwarded invite incorrectly marked as already existing or duplicate
Sometimes, the system may incorrectly mark a new opportunity as already existing or as a duplicate. You will receive a email notification similar to below stating "This opportunity already exists!".
However, if it is not desired, we suggest first trying to re-forward the bid invite email and change the subject line to something different than the project name. You can change the project title later once it is in your Bid Board.
- You can also try adding “NEW {Today’s date}” to the front of the subject. For example:
- Original subject: “925 Mission lighting”
- New subject: “[NEW 9/5/2019] 925 Mission lighting”
If this method does not work, then you will have to manually create the bid or write a formatted email and forward it in. Due to various criteria, the system is not currently able to detect that the information is a different project than what you have existing in your Bid Board.
Forwarded invite was not added as a message to an existing opportunity
If you forward in a email and it does not attach it as a message to an existing opportunity when it should have, you can connect the individual opportunity by using the "Convert to addenda" feature. Find instructions on how to use this at How to add or convert to addenda (Bid Board Pro).
Forwarded email connected to wrong opportunity
If you forward in an email and it attaches itself as a message to an incorrect opportunity, please contact our Support Team here and we can first help by removing the message in the wrong opportunity.
Once the message is removed, we suggest re-forwarding the bid invite email with a different email subject line.
If resending this way does not work, then you will need to manually create this bid or write a formatted email to forward it in.
I forwarded an email, but received no confirmation notice and it isn't on my Bid Board. What happened?
If you forwarded an invite to invites@bidboard.buildingconnected.com, but received no confirmation email, the email you are forwarded may be a BuildingConnected opportunity or have a BuildingConnected email in the email body.
Email forwarding will not accept BuildingConnected emails from team@buildingconnected.com in order to prevent duplicate projects from being created in your Bid Board. Emails from team@buildingconnected.com indicate this is an existing BuildingConnected opportunity. So the system will not process these types of emails.
Therefore, in addition, if your email thread contains a BuildingConnected email, the system will not accept it as well so we do suggest checking to see if there is a BuildingConnected email from team@buildingconnected.com in the content of your email and removing it. Then re-forward the edited email into invites@bidboard.buildingconnected.com.
