In TradeTapp, instead of manually adding reviewers to each vendor’s application, administrators can create invitation rules so that based on certain criteria, reviewers are automatically assigned.
Invitation rules are based on “if” and “then” scenarios. The system will run a check immediately each time a new submission is received. If that submission meets one of your rules, reviewers will be auto-assigned accordingly. The system will not assign a review unless it finds an exact matching rule. Reviewers can always be added manually.
To set a rule to automatically add reviewers to a vendor’s submission
Click on your company name in the top right corner.
Click “Settings.”
Click “Automation Rules”.
Navigate to ”Invitation Rules.”
Enter a name for the rule.
Select an ”If” condition.
- Choose from:
- Questionnaire Version: Choose one of your existing questionnaires from the drop-down menu. The system will spot that a vendor has sent a specific version of the questionnaire and apply the rule.
- This is particularly useful if you want a financial questionnaire to be reviewed by a specific person or people. It can also just be used for sending all questionnaire types to specific people.
- Custom Yes/No Question: Select a custom yes/no question from a section in one of your questionnaires. This will allow you to capture unique circumstances.
- For example, if you wanted to route reviews to a specific person because the vendor does not agree to your terms and conditions. You can use this trigger by having a question in the questionnaire asking, "Do you agree to abide by our terms and conditions" If the vendor selects no, the system can route that vendor submission to be reviewed by someone specific who can reach out to see if it was a mistake. This trigger is a questionnaire catch all and is only limited by your business needs.
- Trade Type: Select a trade from the drop-down menu. You can use this option to route a review to a specific team member who specializes in specific trades.
- For example, you may wish to have all electrical vendors reviewed by "Jennifer Brown".
- EMR, DART Rate, Recordable Rate: Specify a certain value and condition (greater than, less than, equals, and more) for safety data at which reviewers are automatically assigned.
- For example, you can set a rule where if the EMR Rate is greater than 1.0, then the Safety Manager is automatically assigned.
- Questionnaire Version: Choose one of your existing questionnaires from the drop-down menu. The system will spot that a vendor has sent a specific version of the questionnaire and apply the rule.
You can also have multiple “if” conditions that must be met. This can be particularly useful if the reviewer only reviews in specific circumstances. For example, if the reviewer only reviews when the Trade Type is "electric" and the EMR rate is below 1.0, you can set this logic up by compounding the rule.
Click “Add” to select an additional “If” condition.
For the “Then”, select reviewers from the “Review By” drop-down menu.
Click ”Save.” Moving forward, immediately each time a submission is received, the system will check the submission to see if it satisfies your rule. If so, the reviewers will be automatically assigned as you specified.
Click ”Create New Rule” to continue creating additional rules.
Note: The system does not prevent duplicates. It will trigger on the rules it finds in the list so duplicates should be removed if they are not desired.
To edit and delete an invitation rule
To begin, navigate to the “Automation Rules” in your TradeTapp settings and find the “Invitation Rules” tab.
Click “Edit” or “Delete” as desired.
- Edit: Modify the rule and click “Save.”
- Delete: In the pop-up window, type DELETE in all caps in the box to confirm and click “Yes.”
