When you select one or multiple vendors in your Invitations dashboard, an action bar appears at the top of the page. Depending on your user account permissions and the status of the vendor, the action bar will populate with certain actions you can take.
When you select multiple vendors at one time, the action bar will only show the actions that can be applied to all of the invitations selected. You'll also see and expand a list of your selected vendors at the top no matter what page of the invitations you are on.
Note: When you select all, the 50 vendors on the current page will be selected. You can then click "Select all [#] vendors" to take a bulk action on all vendors if desired.
Here's a complete index of all the different available actions:
Add/Remove Tags
Launches the tagging modal for the selected vendor or group of vendors. Use tags as specific identifiers to apply to groups of vendors that you may want to filter by (i.e. project, bid package, type of work). To add, type in "New Tags" and click "Add Tag(s)". To remove, click "x" next to the tag and click "Remove Tag(s)"
Cancel corrections request
Sends a notification to the vendor that their corrections are no longer needed. This action also sets the vendor's status back to its previous status, either "Submitted" or "Completed".
Cancel Renewal
Sends a notification to the vendor that your renewal request is no longer active. This action also sets the vendor's status back to its previous status, either "Submitted" or "Completed".
Change questionnaire
If you have multiple versions of questionnaires, you can change the type of questionnaire a vendor has been asked to fill out. This action will update the questionnaire on the vendor's end so that they are prompted to fill out the version of your questionnaire as you desire.
Delete Import (available with status "Imported")
Delete an imported vendor from your invitations list if it is no longer needed.
Edit Invite (available with status "Not Started")
This option only appears when a vendor has not yet accepted your invitation or they do not already have a primary contact associated with their company.
- If you see the option to "Edit Invite, select this to change the contact name and email of the selected vendor. The original recipient will be notified that their invite is no longer active. A new invite will be sent to the replacement of your choosing.
- If you aren't able to edit the contact, please reference, "Why can't I redirect an invitation or edit a company's primary contact in TradeTapp?".
Input Financials (available with status "Submitted")
Launches the financial input dialogue where sets of financial data can be added to the vendor profile for analysis. This action requires financial permissions or above.
New Questionnaire (available with status "Submitted")
Sends a notification to the vendor that you would like them to fill out a new different version of the questionnaire. In this case, they have already submitted, but however, your team may want them to fill out a different version of your questionnaire instead.
Request Approval
Launches the project approval request dialogue for the selected vendor. Approval requests are logged under the "Approvals" tab on the top left-hand side of Vendor Management. Learn more about project approvals here.
Revoke Invite (available with status "Not Started")
Sends an invite cancellation email to the vendor and if it is a new invitation, removes the invite entry from your database. If this was an imported vendor, their profile will remain in your account. The original invite link will no longer be active. Use "Edit Invite" if you simply want to change the contact email address.
Request Renewal (available with status "Complete")
Sends a manual email request for the vendor(s) to renew or update their TradeTapp profile. Renewal requests require the vendor to provide up-to-date data (current year safety, prior year annual financial, etc.) in order to pass validation and make a submission.
Request corrections (available with status "Submitted" and "Complete")
Sends a rejection notice to the vendor along with a specific message of your creation. Using this action will set the vendor's status to "In Progress" and will require a resubmission from them with corrections. Learn more in How to request corrections on a qualification submission in TradeTapp (General contractors)
Send Reminder
Triggers a manual reminder email to the selected vendor(s) to return and complete their application response. Reminders can also be automated through your app settings.
